PLANNING FOR RAIN
Made in the Shade can provide tenting when rain is in the forecast. Unfortunately, due to high demand and our existing rental schedule,
we cannot “hold” equipment on a contingent bases under our standard reservation confirmation policy.
To hold equipment and dates as a rain contingent plan, the following policy is in effect November-March, and July:
A minimum 50% deposit is required at the time of confirmation (If confirmation is 30+ Days from the delivery date)
The remaining balance on the rental will be due 7 days prior to the Delivery Date. Failure to submit the remaining balance will result in the automatic cancellation of the rental reservation and refund will be issued. At this time the customer can initiate the cancellation if rain is no longer in the forecast. In either scenario line items such as permit fees, processing fees, equipment preparation, time incurred for site visits may not be refunded.
If the rental is cancelled by the customer within 1 day of the delivery date the customer will be refunded any on site labor fees (long carry charges) and any delivery/pickup fees.
If the customer cancels the entire order at the site they will be responsible for 100% of the order.
Cancelling a rental midway through an install will incur additional labor fees which will be based on the time added to complete the work of removal.
WHAT LEAD TIME IS REQUIRED TO CONTACT MADE IN THE SHADE FOR A RAIN TENT?
If your event is within 5-7 days of your request and rain is in the forecast, please complete the Request a Quote form and then contact our office at 916-371-8500. Depending on the time of year and severity of the storm the volume of requests our office may be receiving may impact response times. April-July and September-November are peak event season and our schedules are booked months in advance. With that in mind, request for emergency rain tenting during those months may result in a delayed response. Although we would like to be able to provide rentals to all types of events, our focus is primarily on large concerts, festivals, sporting events, construction, manufacturing, farming, and corporate level events. Our crews are not equipped for smaller private tent rentals or weddings.
CONSIDERING THE EVENT IS THIS WEEKEND, HOW SOON WILL I KNOW IF A TENT IS AVAILABLE TO RENT?
The volume of inquiries/requests does have a direct impact on the response times of our sales team. Sometimes a follow up call can speed things up; however, that may not expedite the process. Rest assured, we received your request if you submitted it through our website and our team is looking at all the variables that may be involved to accurately quote and potentially Plan the installation. Is important for us to know what we can cannot do before we provide pricing to you because a simple “yes, we can provide you with equipment,” is typically not an option. With so many layers to Our team has to review each request that we receive, calculate required installation time frames and installation site logistics/accessibility, identify placement on our job schedule for delivery AND pickup (if availability exists), and determine available inventory to fulfill the scope of work, and more. This can take time to arrive at a yes or no answer. It is important to know that if we cannot provide you with a rental, you will here for our sales team right away
THE NEWS IS REPORTING 80% CHANGE OF RAIN. I SUBMITTED A QUOTE REQUEST,
BUT I HAVE NOT HEARD BACK. SHOULD I WAIT UNTIL I AM CALLED?
In this scenario, our sales team is most likely fielding an extremely high volume of inquiries. We do have a small sales team and when rain is forecasted for our area we field many inquiries. As the saying goes when it rains, it pours. We do apologize in advance if a response has not been emailed to you. Many factors like timing, equipment needs, location, complexity of the install, and more come into play when we are reviewing quote requests. If you have not heard back from our office after submitting a request via online form, please call in to our office (916-371-8500) and we will try to assist you as quickly as possible.
WHAT FACTORS SHOULD BE CONSIDERED FOR LAST MINUTE RENTAL REQUESTS?
If permitting is required, the fire department in charge of the jurisdiction where the event will take place must be contacted, an application submitted and an inspection time scheduled. If the fire department does not approve the rental, then we cannot install the equipment. Private homes and funerals are exempt from permits.
