OPERATIONAL PROCEDURES AT THE STATE CAPTIOL

California’s State Capitol is in the heart of Sacramento. Made in the Shade is committed to the safety of our employees and the public at large. When appropriate, Made in the Shade will deploy equipment to assist crews as they perform the installation and removal of tents, canopies, and structures.

STATE CAPITOL INSTALL/REMOVAL REQUIREMENTS

Effective November 2024

Made in the Shade operates up to three pieces of machinery (TentOX and B&R Mover Carts) while delivering and picking up equipment within the State of California’s Capitol Park and Capitol building complex. As of Fall 2024, per the CHP Capitol Events Guidelines, vehicles of any kind will not be permitted within the secure zone (security perimeter consisting of bollard style barriers that surrounds the capitol on all sides. This means that Made in the Shade cannot operate our work trucks to reach the middle and upper west steps. Under these guidelines, Made in the Shade cannot operate our TentOX within the secure zone either. Made in the Shade does have permission to use B & R Mover Carts within the secure zone.

The Tent OX provides strength and support to the installation and removal crews to offload and load a range of large materials and tenting hardware. The Tent OX is also tasked with transporting and placing blocks, and even acting as a counter weight when crews pull vinyl roofs through the trac systems on our largest structures and canopies. These policy changes will impact the time required to install and remove equipment.

HOW MITS PLANS TO ADDRESS THE NEW POLICY

Tent, canopy, and structure installation and removal is very labor intensive. Capitol Park and Capitol Complex rentals will be impacted by the policy changes.

State Capitol Install/State Capitol Removal

State Capitol Install and State Capitol Removal sections will be included on State Capitol rental job order. This includes the allocated inventory items and services to be provided by Made in the Shade. Fees associates with any labor and/or services will be based on the size and scope of work required, logistical challenges, and delivery and pickup times.

Equipment required may include the TentOX and B&R Mover Cart. As stated above these two pieces of equipment work in tandem to move materials to and from the inner portions of the capitol complex. 

We must note that the deployment of these machines cannot adequately address the accessibility challenges present at the capitol. A large portion of equipment must be hand carried into the capitol by the crew. This is defined as a “Long Carry” charge. The physical labor required to bring equipment onto and off of the capitol grounds increases the install and removal time by the crew. Long carry charges will be based on the style of equipment being installed, the date/time of the installation/removal, and the time allotted for crew to work.

It is the goal of Made in the Shade to provide relevant information regarding all services that fall outside of the actual the physical tent portion of the rental reservation. 

 

 

 

 

 

 

 

 

 

Below we have defined some terms/inventory items that could appear on the job order under the Capitol Installation or Removal sets:

TENTOX

    • The TentOX is a heavy equipment machine used unload tenting hardware, vinyl, tent components, and move and place ballasting blocks

 

TRANPORTATION (via trailer)

    • The TentOX arrives on a dedicated trailer, requiring a dedicated driver. This delivery/pickup is a stand alone service and not related to the delivery/pickup of tenting.

 

DAIY FUEL CHARGE

    • All in days work – The Tent OX is a diesel operated piece of machinery. A full tank reaches empty after approximately 6-7 hours of continuous work. The Daily Fuel Charge covers that expense as part of the use of the equipment.

 

LONG CARRY – STATE CAPITOL

    • Falling within the delivery procedures at the state capitol and enforced by the Capitol CHP Events Office, the bulk of materials brought onto the capitol grounds require hand and card delivery/pickup. This is added layer of time and labor is billed as a Long Carry.

 

COORDINATION WITH CHP

    • Made in the Shade, along with the rental customer, may attend on-site meeting with the and/or engage in logistical coordination with the CHP office. Depending on the level of time commitment, a charge may appear on the order that will reflect any interactions that exceed more than 1-2 hours per event.

 

BLOCK & ROLL MOVER CART  (Optional)

    • As an approved tool for use on the capitol grounds, the mover cart may appear on the rental order when more than one is required to transport blocks into the capitol complex.

 

BLOCK & ROLL ELECTRIC MOVER CART  (Optional)

    • As an approved tool for use on the capitol grounds, the electric mover cart may appear on the rental order when more than one is required to transport blocks into the capitol complex, specifically to the upper sections of the west steps.

 

MITS PORTABLE RESTROOM & TRAILER

    • Made in the Shade is committed to providing our crews with a safe and appropriate working environment. Part of this commitment includes providing accessible restroom facilities to our crews at the job site when one is unavailable. Because of the security protocols within the capitol complex, a dedicated restroom easily accessed from the work zone is a necessary convenience for the crew.

 

CUSTOMER SUPPLIED RESTROOM (By Restroom vendor) (Optional)

    • For events with restroom deliveries as part of the event buildout, when possible, we encourage our customers to schedule an early delivery of restrooms for use by the delivery crew and for those restrooms to remain on site until the pickup has been competed.
