UNDERSTANDING THE ROLE OF THE SITE CONTACT

 

Every rental reservation requires the addition of an on-site contact.

This individual oftentimes is the ordering customer, however, in the absence of the ordering contact it is necessary to identify another individual who is tasked with representing the customer. The site contact is an important role and vital to the successful execution of a tent delivery and subsequent pickup!

 

EXPECTED RESPONSIBILITIES

 

When you rent tents and equipment from Made in the Shade,

we require a designated Site Contact to be present during delivery, setup, and pickup.

This person helps ensure a smooth installation and avoids delays or unexpected costs.

 

 

SITE CONTACTS ARE IMPORTANT

 

The Site Contact acts as our liaison on the ground. They:

•Provide access to restrooms and facilities for the crew

•Meet the crew on arrival and throughout installation

•Approve tent and equipment placement

•Walk the site with the crew lead

•Authorize adjustments or changes, if needed

•Sign off on the final installation

AUTHORITY & DECISION MAKING

 

The person identified as the primary contact should be someone who is:

•Familiar with the project needs and site layout

•Authorized to make decisions about changes, additions, or deletions

•Comfortable approving any adjustments that could affect your invoice

If pricing for a change is not immediately available, the Site Contact (or their authorized delegate) may still need to approve action to keep your event on schedule.

FINANCIAL RESPONSIBILITY

 

•If Yes:

The Site Contact may approve changes on-site, and those adjustments will appear on the final invoice.

•If No:

If your site contact cannot make financial decisions, the alternate contact must be ready to make decisions and sign off on the final install.

If they cannot perform this function, they must be able to reach the primary contact by phone for approvals.

Please note: delays in decision-making may result in downtime charges or rescheduling fees.

 

HELPFUL TIP

 

Choose a Site Contact who will remain on-site for the duration of installation.

This avoids unnecessary delays and ensures your event is set up exactly as planned.
